Job Description

Job Purpose:

  • There will be contact with senior officers, heads of service, headteachers and other school staff, colleagues from the NHS Trust and Social Care and Safeguards, members of staff of other Council Groups, parents and other members of the general public.


  • Responsible to the Administrative Manager of the SEN team who is in turn responsible for the post holder’s health and safety, training and development.
  • Expected to lead and/or contribute to a range of projects and build relations with both internal and external partners in order achieve specified outcomes, but will not have direct authority over those involved.


  • All administrative procedures relating to the Education Health and Care Needs Assessment (EHCNA) process for children. 
  • The DfE require the EHCNA process to be completed in 20 weeks this is a national indicator that the SEN Team are required to work to.
  • All administrative processes relating to the reassessment of children and young people with Education Health and Care Plans (EHCP’s).  The DFE require this process to be completed within 14 weeks – this is a national indicator that the SEN team are required to work to.
  • To process requests from settings for Graduated Support Pathway funding.
  • To prepare all new referrals for EHCNA’s or Graduated support pathway funding for the weekly EHCNA panel.
  • To circulate the new referrals to all appropriate panel members prior to the Panel meeting.
  • The updating of the ONE database with regard to assessments, placements, reviews and provision at the end of the assessment period.
  • The adding/amending of provision to the ONE database for the Graduated Support Pathways that are approved.
  • To monitor daily generic email boxes for assessment requests received from schools and professionals returning their advice to contribute to the Education Health and Care Needs Assessment process. 
  • To proactively follow up where advice from professionals is due to be returned.
  • Setting up of meetings with parents at two stages during the assessment process.
  • The minuting of meetings as and when required.
  • Supporting the SEN Administrative Manager in ensuring working practices and systems within the SEN Team are monitored and maintained.
  • To support with developing the ONE database and Sharepoint to enhance electronic working practices..
  • To undertake a range of other administrative tasks including administrative support to the SEN Case Managers as deemed appropriate.
